Three things every coach’s booking tool needs — and how to consolidate branding, designated booking, and payments in one place.
"I'm losing 30+ minutes a day to email back-and-forth just scheduling sessions." "We have multiple coaches on staff, and we want clients to be able to choose who they work with." "I want our booking page to match our brand." If any of these sound familiar, this guide is for you. Meet SailLab — a booking system purpose-built for the coaching industry.
In this article, we cover the scheduling pain points coaches face, the five SailLab features designed to solve them, an example end-to-end booking flow, pricing plans, and a full FAQ. By the end, you'll know whether SailLab is the right booking system for your coaching practice.
Why coaches need a purpose-built booking system
The coaching industry has a unique combination of three booking requirements that hit at the same time.
1. Multiple service offerings
Most coaching practices offer something like "30-minute discovery session (free)," "60-minute one-off session (¥15,000)," "3-month intensive package (¥150,000)," and "monthly subscription (¥30,000/month)" — multiple delivery formats and price tiers running in parallel. With a general-purpose scheduling tool like Calendly, you have to create a separate "Event Type" for each one, which scatters URLs across your site and makes the client experience worse.
2. With multiple coaches, designated coach selection is essential
When your team is segmented into specialties — career coaching, life coaching, business coaching, executive coaching — letting clients pick the coach who fits their situation has a direct, measurable impact on first-session satisfaction. The booking page needs to display each coach's profile, specialty, and photo. This isn't a nice-to-have; it's a core requirement.
3. Branding builds trust
Coaching is a relationship business — clients sign up because they trust a person. When you're asking someone to commit to ¥30,000/month or ¥150,000 for a 3-month engagement, the design quality of your booking page directly affects your conversion rate. A generic, template-looking booking page won't cut it. You need a booking experience that feels consistent with your brand.
Meeting all three of these requirements with a single tool is hard. General scheduling tools (Calendly, TimeRex) are weak on menu selection. Salon-focused booking systems (RESERVA, STORES Reservation) tend toward an operational, back-office UI. SailLab was built specifically to fill this coaching-shaped gap in the market.
Five SailLab features built for coaches
1. Service menu setup
Configure as many session offerings as you need — "30-minute discovery / 60-minute one-off / 3-month package / monthly subscription," for example. Each menu item gets its own duration, price, description, important notes, and cancellation policy. Clients see all your services on a single booking page where they can compare and choose.
2. Designated coach selection
If you have multiple coaches on staff, clients can pick the one they want to book with at booking time. You can also switch to round-robin (auto-assignment) on a per-menu basis. Because each coach's specialty, profile, photo, and bio are displayed, clients feel more confident in their choice — and no-show rates drop accordingly.
3. Branded booking page
Customize the cover image, logo, color scheme, and fonts to match your coaching brand. You can build a fully on-brand booking page in 5 minutes. Embedding into your own custom domain (yourdomain.com/booking) is also supported.
4. Two-way Google Calendar sync
Each coach's Google Calendar syncs both ways with SailLab, completely eliminating double-booking against personal events. Outlook and iCloud calendars are also supported. Personal events appear only as "busy" with no title shown, so privacy is preserved.
5. Automated reminders + Zoom integration
Email and SMS reminders go out automatically 24 hours before the session. Zoom and Google Meet links are auto-generated and attached to the booking confirmation email. The coaching industry's typical no-show rate (15–20% on average) drops dramatically.
An example coaching booking flow on SailLab
Example: a career coaching firm with 3 coaches on staff
- Client lands on the booking page (via a link from your website or directly via URL).
- Client picks a service: "30-minute discovery (free)," "60-minute one-off (¥15,000)," or "3-month package (¥150,000)."
- Client reviews the coaches on staff (Career Coach A, Life Coach B, Business Coach C) — profile, photo, specialty — and selects one.
- Client picks a time slot (only that coach's available times are shown).
- Client enters name, contact info, and what they'd like to discuss (optional intake form).
- For paid sessions, payment is completed via Stripe or Square.
- Booking confirmed — calendar event auto-created, Zoom URL issued, reminders scheduled.
You can build this entire flow in 5 minutes without writing a single line of code. The client experience feels as smooth as Calendly, and on your end, the email back-and-forth disappears completely.

Frequently asked questions
Q. Can I embed SailLab into my existing website? — A. Yes. A single line of HTML embeds SailLab into WordPress, Wix, STUDIO, Peraichi, and other major CMS platforms. CNAME setup for a custom domain is also supported.
Q. Can I use payment features if I need them? — A. Yes. The Solo plan and above integrate with Stripe and Square, so clients can pay at the same time they book. Recurring billing for monthly subscriptions is also planned.
Q. Can I migrate from my existing booking tool? — A. Yes. Migration guides for Calendly, TimeRex, RESERVA, and STORES Reservation are coming. CSV import is supported for client data and existing bookings.
Q. How do cancellations and reschedules work? — A. Clients can cancel or reschedule directly from the booking page. The coach is notified automatically, and the calendar updates itself.
Q. Does it work for international clients? — A. Yes. Time zones are auto-converted, so clients always see times in their local zone. As of April 2026, however, the admin panel and booking page are Japanese-only.
Q. How is data security handled? — A. All traffic is SSL/TLS encrypted, and data is stored in a Japan-based region (AWS Tokyo). Our full privacy policy is available on the SailLab website.
